01 / The workflow

From purchasing needs to received goods.

One record follows the supply process. Decisions that commit your business remain in your hands.

Open a step to discover what happens.

0101 · AnticipatePrepare quantities to order

Sales history and the selected seasonal patterns inform requirements. The calculation considers availability, customer backorders, expected orders, supplier lead times and pack sizes.

For your businessPrepare upcoming purchases while limiting duplicate orders.

0202 · DecideChoose what should actually be sentYour team’s approval

Your team adjusts quantities, suppliers, priorities and dates. It approves the request, message and attachments in the sending window. The request is then sent automatically to the supplier.

For your businessControl the content of each request before it is sent.

0303 · CheckHighlight discrepancies in pro forma invoicesYour team’s approval

R-Node retrieves pro forma invoices and matches them against orders, checking prices, quantities and lead times. Your team reviews and approves proposed adjustments; confirmation is then sent automatically to the supplier.

For your businessFocus your attention on differences that require a decision.

0404 · Track transitKnow what is on the way

Supplier orders and invoices join the record alongside freight forwarder information and departure and arrival dates. Goods and their documents are kept together.

For your businessUse the information you need to prepare for their arrival.

0505 · CalculateUnderstand the true cost of products

Direct costs are assigned to the relevant purchase. Shared costs are allocated by volume, then by item according to purchase bases. Each amount has supporting documentation, making unit landed cost and projected gross margin percentage clear.

For your businessSee how transport and imports affect your margin.

0606 · ReceiveApprove what actually enters the warehouseYour team’s approval

The warehouse confirms accepted quantities. Partial receipts, damage and outstanding quantities remain identified. Once discrepancies are resolved, the operational record can be closed; invoices and supporting documents remain accessible.

For your businessStock reflects actual receipts, with outstanding matters retained for follow-up.

02 / In practice

The supplier price is only part of the picture.

Transport and import charges change product costs on arrival. By linking charges to supporting documents and the relevant purchases, R-Node helps you assess margins on a more complete basis.

Your questions

Picture it in practice.

Are purchases decided automatically?

No. Preparation helps your team decide. They choose quantities and suppliers, approve the request, then the adjustments and order confirmation.

What does exchange automation handle?

After your approval, the request is sent to the supplier. Pro forma invoices are retrieved and matched against the order; discrepancies and adjustments are presented to you. Once approved, confirmation is sent to the supplier with the agreed terms.

Does a partial delivery close the record?

Accepted quantities enter stock and outstanding quantities or damage remain identified. The record is closed after receipt and resolution of discrepancies, retaining documents for administrative and accounting follow-up.
